Simple Inventory
Track the items you keep in stock and know when they need to be replenished.
Simple Inventory manages each item and its stock levels in one Inventory record. It does not use separate item catalogs or storage locations.
How to use this solution
Use this solution to manage a straightforward inventory of products, parts, materials, and supplies without needing separate item catalogs or storage locations.
Each Inventory record contains the information and stock levels for one item.
- Stock tracking: Track quantity on hand, quantity reserved, quantity available, inventory status, and other stock details.
- Reorder management: Set minimum stock, maximum stock, and reorder levels to identify inventory that is running low or needs attention.
- Item information: Keep the item's name, SKU, item type, unit of measure, image, and notes in the same record as its stock levels.
How the solution is organized
The solution is built around a single business object:
| Business object | What it represents |
|---|---|
| Inventory | A product, part, material, or supply that your business keeps in stock |
An Inventory record can contain the following information:
| Category | Fields |
|---|---|
| Item information | Image, item name, SKU, item type, unit of measure, and notes |
| Stock quantities | Quantity on hand, quantity reserved, and quantity available |
| Stock controls | Minimum stock, maximum stock, reorder point, and inventory status |
Because everything is stored in one record, you do not need to create separate Item or Location records.
Getting started
1. Create an Inventory record
Create one Inventory record for each product, part, material, or supply you want to track.
2. Add the item information
Enter the details that identify the item:
- Product image
- Item name
- SKU
- Item type
- Unit of measure
- Notes
3. Add the stock information
Enter the item's current quantities and stock controls:
- Quantity on hand
- Quantity reserved
- Minimum stock
- Maximum stock
- Reorder point
- Inventory status
The Inventory record becomes the operational record you use to manage that item's stock.
Example
Suppose you keep ApexVision 27" Display Panels in stock.
Create one Inventory record named ApexVision 27" Display Panel with the following values:
| Field | Value |
|---|---|
| SKU | LCD-27-QHD-165 |
| Unit of measure | Each |
| Quantity on hand | 20 |
| Quantity reserved | 0 |
| Quantity available | 20 |
| Minimum stock | 5 |
| Reorder point | 12 |
| Inventory status | Active |
There is no separate Item or Location record to maintain.
When to use Simple Inventory
Simple Inventory is a good fit when:
- You keep inventory in one primary location
- You do not need separate stock records by warehouse or facility
- You want the simplicity of managing each item in a single record
- You are replacing an inventory spreadsheet
- You do not need formal receiving or issuing workflows
If your inventory becomes more complex, you can move to Inventory Management to manage Items and Locations separately, or Advanced Inventory Management to add Goods Receipts and Goods Issues.
