Event Rental Operations

Manage event rentals from the first customer enquiry through quoting, equipment reservation, delivery, and collection.

How to use this solution

Use this solution to keep customer requests, rental equipment, outside services, availability, confirmed events, and delivery logistics in one connected workspace.

Every booking moves through three main stages:

Enquiry → Quote → Event

  • Enquiry management: Capture what the customer is planning, when the event will take place, and what equipment or services they may need.
  • Quoting: Build a priced proposal from rental equipment and Partner services.
  • Availability checking: Check every quoted equipment item against reservations for other Events before confirming the booking.
  • Event confirmation: Convert an accepted Quote into an Event and reserve its equipment.
  • Delivery and collection: Schedule the people, vehicles, and times needed to deliver equipment to the venue and collect it afterward.

An Enquiry or Quote does not reserve equipment. Equipment is reserved only when a Quote is converted into a confirmed Event.

The Quote is the working proposal. The Event becomes the operational record after the customer accepts and the booking is confirmed.

Included automations

Check Availability

Click Check Availability on a Quote after adding its Event Lines and setting Equipment Reserved From and Equipment Reserved Until.

The automation:

  • Checks every quoted Equipment item against existing Event reservations for the requested period
  • Compares the requested quantity with the quantity still available
  • Marks each Event Line as OK or FAILED
  • Updates the Quote with an overall availability result

If a line fails, adjust its quantity, choose different Equipment, or change the reservation dates before checking again.

Availability is a point-in-time check

Checking availability does not hold the Equipment. Run Check Availability again immediately before confirming the Event, especially when several team members may be preparing Quotes for the same dates.

Create Event Booking

Once the customer accepts the Quote and every Event Line is available, click Create Event Booking.

The automation:

  • Creates the confirmed Event
  • Copies the quoted Equipment and Partner services into the Event
  • Creates the Equipment Reservations that hold the inventory
  • Marks the Quote as Accepted
  • Connects the Quote to the newly created Event

Running the action again does not create a duplicate Event. It returns the Event that was already created from the Quote.

After conversion, the Quote remains a record of what the customer accepted. Changes to actual quantities, prices, or Equipment on the Event do not change the original Quote.

Getting started

1. Set up Customers, Equipment, and Partners

Create a Customer for each person or organization you work with.

Add the Equipment you rent, including the quantity you own and its rental price. Add Partners for outside services you regularly arrange, such as catering, entertainment, or event staffing.

2. Create an Enquiry

Create an Enquiry when a customer first gets in touch. Select an existing Customer or create a new one, then record the event date, event details, and an initial description of what they need.

The Enquiry is for capturing the request. It does not price or reserve Equipment.

3. Create the Quote

Create a Quote and select the Customer. Connect it to the Enquiry when the request began as an Enquiry.

Add:

  • An Event Line for each Equipment item and quantity requested. Pricing fills from the Equipment catalog.
  • A Partner Assignment for each outside service you are arranging.

4. Set the reservation period

Enter Equipment Reserved From and Equipment Reserved Until on the Quote.

Use the full period during which the Equipment must be unavailable to other bookings. This will often begin before the Event and end afterward to allow time for loading, delivery, setup, collection, and return processing.

5. Check availability

Click Check Availability and review the result on every Event Line.

Do not confirm the Event while a line shows FAILED. Reduce the quantity, substitute another Equipment item, or adjust the dates, then run the check again.

6. Confirm the Event

After the customer accepts and every line shows OK, run Check Availability one final time and click Create Event Booking.

The Event is created and its Equipment is now reserved for the selected period.

7. Schedule delivery and collection

Open the Event and add:

  • A Delivery with the scheduled time, driver, and vehicle for taking Equipment to the venue
  • A Collection with the scheduled time, driver, and vehicle for bringing Equipment back

8. Manage the confirmed Event

Use the Event as the operational record from this point forward. You can adjust actual quantities, replace damaged Equipment, or add last-minute items without changing the accepted Quote.

This keeps the original agreement available for comparison while the Event reflects what actually happened.

Open either Quote and run its actions to see how availability checking and Event confirmation work.

Important behaviors

  • Creating an Enquiry does not automatically create a Quote. Create the Quote separately and carry over the relevant customer and event details.
  • A Quote does not reserve Equipment, even after an availability check.
  • Only Create Event Booking creates the Event and Equipment Reservations.
  • Equipment Reservations are managed automatically and normally do not need to be edited directly.
  • The accepted Quote keeps the original quantities and prices. The Event has its own actual values that can change independently.
